Terms and Conditions of Minicabs Hub

Outlined below are the terms and conditions under which Minicabs Hub Ltd. operates its services with the Client (the account holder), the Passenger (the person traveling), and the Booker (the person arranging the journey). Minicabs Hub reserves the right to modify these terms and conditions at any time without prior notice.

Minicabs Hub is committed to providing a safe and reliable service to all our customers.

We strive to be fair and reasonable in all our dealings and aim to foster goodwill whenever possible.

While we will take all reasonable care in fulfilling Client and/or Passenger instructions, we are not liable for any incidents or losses that arise from circumstances beyond our control.

Transport of Goods

All parcels, packages, and goods are carried at the customer’s own risk. It is the customer’s responsibility to ensure adequate insurance coverage for goods in transit.

Right to Refusal

Minicabs Hub reserves the right to refuse to carry any person or object that the driver believes may cause harm or damage to themselves or their vehicle in any way. The driver’s judgment in such matters will be final.

Minicabs Hub may charge for any costs incurred as a result.

Quotes

All quotes provided are estimates based on the mileage, time, and type of vehicle required for the specific journey. Quotes exclude any additional expenses incurred by the driver or the company, which will be added at the end of the journey.

Charges

Final fares are calculated based on the mileage traveled, time spent, and any out-of-pocket expenses. The rate may vary depending on the type of vehicle or service requested for the journey.

A gratuity, paid directly to the driver, is included in all fares. This is charged at £0.20 for every half mile of the journey.

We offer fixed rates for journeys to or from the local area, including London airports and most London postal codes. Parking fees are not included in the provided quotations.

Most journeys are quoted based on the shortest route. If the route is changed, either at the customer’s request or due to traffic conditions, Minicabs Hub reserves the right to charge the Client for any extra mileage and time.

If a customer requests us to purchase any item on their behalf during a journey, we will make every reasonable effort to buy an exact match. However, this may not always be possible, and any items bought will be chargeable.

Surcharges

We reserve the right to apply a surcharge for:

  • Out of area journeys
  • Airport and station pickups
  • Christmas, New Year, and other Bank Holidays
  • Additional stops on route
  • Extreme weather or road conditions
  • Journeys outside standard business hours
  • Peak hours
  • Special events
  • Dedicated team requirements

Periods of Extreme Weather or Road Conditions

During extreme weather or road conditions, we strive to transport as many passengers as possible. Due to increased demand and challenging conditions, passengers may be required to share a vehicle with others traveling a similar route. In such cases, the full fare will be charged, and no discounts will be applied. Surcharges may also be applied during these periods.

Supply of Larger Vehicles

Minicabs Hub reserves the right to supply a larger vehicle than originally booked for any journey. No additional charge will be made unless the extra seating capacity is utilized.

Cancellations

Minicabs Hub assumes a booking is still valid unless:

  • A Passenger, or someone acting on their behalf, cancels the journey with a Minicabs Hub staff member and receives confirmation of the cancellation.
  • Our driver or supporting staff have confirmed that they are unable to pick up the Passenger.

We will take all reasonable steps to complete the booking unless cancellation is confirmed.

In the event of a cancellation, Minicabs Hub may charge for any costs incurred up to the point when the cancellation is confirmed or when we are unable to contact the Passenger.

Generally, no charge is applied for cancellations made before the driver is dispatched. If the journey is cancelled after the driver has been dispatched, the Client may be liable for a charge.

If the driver is unable to locate the Passenger despite making all reasonable efforts, the Client may be charged.

If a Client or Passenger provides incorrect information regarding the pickup location or time, resulting in a cost to our driver, the Client may be liable for a cancellation charge.

Cancellation Charge

A Cancellation Charge is calculated to cover the time, mileage, and incidental costs incurred by our driver when unable to pick up a Passenger.

For bookings involving a 16-seat vehicle or larger, cancellations made within 24 hours of the pickup time will incur a 100% charge of the fare.

Minibus and Coach Bookings

For minibus or coach bookings, payment is required at the time of booking confirmation.

Within seven days of the scheduled booking time, the initially booked hours or miles constitute a minimum charge. Any reduction in booked hours or miles within this seven-day period will not reduce the total booking price.

The customer may add additional hours or miles within the 24-hour period before the scheduled time, and these will be chargeable.

In the event of cancellation, the following charges will apply:

  • 28 days prior to the booking date: No fee (0% of the quoted price).
  • 21 days prior: 50% of the quoted price.
  • Less than 14 days prior: 75% of the quoted price.
  • 7 days prior: 100% of the quoted price.

Any non-refundable expenses incurred on behalf of the customer, such as tickets or tunnel/ferry costs, will also be charged.

If the booked vehicle becomes unavailable for any reason, we reserve the right to provide a substitute vehicle of smaller size, provided it can accommodate the originally booked number of passengers. We will strive to meet your needs and maintain the quality of service without increasing costs.

Hourly Rate Bookings

For hourly or day rate bookings, payment is required at the time of booking confirmation.

Within 24 hours of the scheduled booking time, the initially booked hours constitute a minimum charge. Any reduction in booked hours within this period will not reduce the total booking price.

The customer may add additional hours within the 24-hour period, and these will be chargeable.

In the event of a cancellation within 24 hours of the scheduled booking time, the full quoted amount for the initially booked hours will be charged.

Any non-refundable expenses incurred on behalf of the customer, such as tickets or tunnel/ferry costs, will also be charged.

Wedding Vehicle Bookings

For wedding vehicle bookings on an hourly or day rate basis, payment is required at the time of booking confirmation.

Within 24 hours of the scheduled booking time, the initially booked hours constitute a minimum charge. Any reduction in booked hours within this period will not reduce the total booking price.

The customer may add additional hours within the 24-hour period, and these will be chargeable.

In the event of a cancellation within 24 hours of the scheduled booking time, the full quoted amount for the initially booked hours will be charged.

Any non-refundable expenses incurred on behalf of the customer will also be charged.

Waiting Time

If a driver has to wait beyond the appointed time to collect a Passenger, whether due to the fault of the Passenger or Client or circumstances beyond their control, the Client will be liable to pay Minicabs Hub for the waiting time.

Variation

We will endeavor to accommodate any route variations requested by the Passenger unless otherwise instructed by the account holder in writing.

If the booked vehicle becomes unavailable for any reason, we reserve the right to provide a substitute vehicle of a different size, provided it can accommodate the originally booked number of passengers. We will strive to ensure that the substitute vehicle meets your needs and maintains the quality of service without increasing costs.

Account Charges

All invoices will include VAT at the prevailing rate. Our payment terms are strictly 14 days after the invoice date.

All invoices are subject to a standard administration charge of 12.5%. This fee may be reduced to 6% if paid by direct debit.

Security of the Account

It is the Client’s responsibility to ensure adequate security measures are in place to prevent unauthorized use of the account.

The account will be set up with minimal security measures unless otherwise specified by the Client in writing. Minicabs Hub can implement various security measures upon the Client’s prior written request.

The Client will be liable for all bookings made on the account.

Payment

The Client agrees to pay invoices within the payment terms specified on the account application.

Overdue amounts may incur interest under section 69 of the County Courts Act 1984 at a rate of 8% per annum.

Queries

All queries must be submitted in writing within 14 days of the invoice date

Lost Property

Minicabs Hub accepts no responsibility for private property left in our vehicles or on our premises, including any liability for lost property returned to someone who is not its owner—e.g., if someone falsely claims ownership.

Property left on our premises will be kept for three months, after which it will be disposed of.

To reclaim lost property, a detailed description and/or proof of identity will be required.

While we will make every effort to identify and contact the rightful owner, Minicabs Hub will only return the property to the person who provides the required details.

Minicabs Hub will not mail or courier any reclaimed property unless the appropriate fees for packing, postage, and insurance are paid by the claimant.

All items sent are at the owner’s risk.

Note that Minicabs Hub will not automatically arrange insurance during transit. Insurance will only be arranged if specifically requested in writing at the time of reclaiming found property, and it will be the standard insurance offered by the chosen carrier. Minicabs Hub will not be liable for the suitability of this insurance.
